Office Manager Position Urban Teacher Residency United Position Available Immediately Location: Chicago
UTRU Summary Founded in 2007, Urban Teacher Residency United (UTRU) is a not-for-profit organization created to help expand teacher residencies. Based in Chicago, UTRU’s mission is to build and manage a national network of high performing teacher residencies dedicated to accelerating student achievement through the training, support, and retention of excellent urban teachers. UTRU is a vital resource for emerging residency programs and has evolved as a national entity from which information, assistance and the expertise necessary to plan and launch an urban teacher residency can be gained. UTRU is a dynamic and coordinated network of teacher residencies which synthesizes and communicates residency best practices, partners with emerging residency programs to ensure success via a two-year long institute, develops and implements common program evaluations and pursues national policy initiatives to support the introduction and ongoing support of high-quality teacher residencies.
The Position UTRU is at a pivotal time in its evolution and requires a strong office manager who can handle the day-to-day operations of the office and the administrative demands of the President, Managing Director and Program Director. The office manager will report to the President.
Responsibilities Responsibilities include, but are not limited to: • Managing office operations and developing systems to maximize efficiency on a daily basis and in case of emergencies o Managing facilities to enhance brand identity, productivity, and staff satisfaction, including maintenance of office technology and efficient use of office space and resources o Serving as primary phone and reception contact for office, ensuring quality customer service among our partners and constituents o Acting as a liaison to building management and vendors o Working with the President to create and manage systems for data organization • Coordinating events including planning logistics, securing donated materials, working with external vendors and suppliers, and creating and sending mailings • Developing a process and tracking system to facilitate successful transitions for new staff members • Providing administrative support to the President, Managing Director and Program Director such as scheduling meetings and conference calls, arranging travel, managing correspondence, and processing reimbursements. This could also include some special project assignments. • Providing support for staff meeting and retreats • Securing donated items for office
Candidate Profile and Experience Prerequisites/Skills • Excellent organizational skills and attention to detail • Ability to make informed and timely decisions, to use sound judgment to prioritize actions • Ability to work effectively and prioritize in a fast-paced, deadline-driven environment, and to juggle several projects at once with a spirit of flexibility and positive outlook • Ability to manage the schedules and priorities of multiple staff members • Writing and communicating verbally in an effective and compelling manner • Identifying and acting upon learnings from both accomplishments and less-successful experiences by reflecting and proactively seeking feedback • Strong tech skills, including knowledge of Microsoft Office Suite, Excel and Powerpoint
